2014 Leaderboard Rules

The new Leaderboard rules have been voted on and approved upon for 2014.


The 2014 rules are basically the same as the 2013 rules with only some minor clarifications of issues and suggestions added to the rules.

The 3 main "tweaks" are:

1. There is now a revised "pen limit" for HOY. Although there is no maximum on the total number of placements counted for HOY points, HOY points will be limited to a maximum of four (4) Grade 3, 4 or 5 hunts being counted from a single “home” pen PLUS any hunt held in the same pen classified as a Grade 1-A, 1 or 2 hunt. Example: Red’s Sam may place four times in Manning, SC in a Grade 3, 4 or 5 hunt and in addition, have points counted for any hunt such as the Masters, All American, USO also being held in the same pen.

Note: THIS DOES NOT APPLY TO SOY, DOY or KOY. The same 12 hunt total still applies to SOY, DOY & KOY.

At year end, the 12 highest point’s hunts will be tallied for the final standings. Only 8 of the 12 can come from one single pen for SOY, DOY and KOY. And to clarify, when a derby hunt and an all age hunt run together - they are still 2 separate hunts ~ different grades, etc.

2. The East Coast Masters and the Ogeechee River will be upgraded to a Grade II. The Eastern Carolina and Western Open will become a Grade III.

3. Starting in 2014, any kennel wanting to compete for Kennel of the Year awards will be required to register their kennel with the Leaderboard kennel registry. This is at NO COST to you or your kennel but in order for us to keep track of the kennels and their members, it is a must do. The previous kennel registry being used on Masterfox was not current, so it has forced us to make the new registry.

OVERVIEW

This program was established as an extra incentive to improve and promote quality breeding and field trial hounds , as well as being an informative tool for those interested. The majority of the work is done on a voluntary basis and this cannot be overstated, especially when errors come to light, or individual opinions are expressed.

The top 20 hounds and kennels, in these 4 categories, are recognized each year at the headline Masters Banquet and in the Hunters Horn magazine.

For this program to continue to succeed, please continue to support the individual Sponsors, the Hunters Horn Magazine, the Masters affiliated hunts, and those involved with the upkeep of this program.

It shall be the responsibility of the person entering the hounds to present to the Secretary a correct entry sheet.

For the matter of dual hunts, only half points will be awarded to each side of the dual. Example, the North Georgia runs a dual hunt scoring a National HGA and a Masters HGA. Once the results are turned in, the 350 available points will be divided in half to each side and calculated with the entry factor. All hunts wishing to run as dual hunts must pay a 30.00 fee for each hunt.

In an effort to keep the Leaderboard standings up to date and an even flow of hunts for the score keeper in the rules, please post your COMPLETE RESULTS and send in your LEADERBOARD FEES within 30 days of the last day of running.

In years past there were some hunts/ hunters /hounds that did not receive points due to Leaderboard fees not being paid, hunts not advertising in the Hunters Horn and results not being posted or turned in. Some lost points due to failure to turn in combo winners, dual champions, classiest hounds, and best mouth. Our goal is to have 100% participation from all hunts and to truly make this recognition program representative of all hounds, hunters and regions throughout the country.

1. If you are in charge of a hunt, send in your Leaderboard fees to Brenda Turner EARLY for every hunt your association intends to have during the year. They can be paid as far in advance as you like. Then it is done, no worry. Write a note or on the check write the name of the hunts. VERY IMPORTANT.

2. When sending in results make sure everything is complete. Make sure you put duals, combos, classiest hound, and best mouth. ENTRY NUMBERS separated by Derby and AA are very important. Date the hunt was ran, where it was ran (pen location) and the month the ad was in the horn. If I were posting it I would also put the day I paid the Leaderboard fees so dog owners won’t worry about it. Note: MAKE CLEAR THE NAME OF THE HUNT WHEN SENDING IN LEADERBOARD FEES and giving results because many hunts have similar names and some associations have multiple hunts. Please list if it is a 3 day (5hr), 2 day (5hr), 2 day (8&7hr), etc....

3. Not required but *** PREFERRED *** , for the interest of the dog owners and ease of knowing the hunt has been turned in the leaderboard committee recommends posting the results on the hunt result page on Masterfox or Speeddogs websites. Then if a hunter sees a problem or something missing it will be found in time to make changes. There is 30 days after results are turned in to make changes to mistakes; after that they are considered final.

4. If you are a dog owner. Keep a close watch on the hunts you attend and the posted results and push for things to be done correctly. We can only tabulate and post reports as accurate as the hunt results are posted.

We understand that many feel that the 30 day rule is not much time but it is not that hard. We intend for all hunts to be counted but for some it doesn't matter how long you give them they will wait until the last day or after.

5. ANY questionable activity by kennels or judges. (Examples: Kennel partner’s or immediate family members judging & running in the same hunt, Borrowing of dogs for KOY points, Improper contact with judges during hunts, Purposeful listing the incorrect breeding on Sires and Dams, etc, etc.) These observations must be brought to the attention of the leaderboard committee IN WRITING within 7 days after the end of the event in order for items to be reviewed.
These complaints will be forwarded to the new Joint Masters / National review committee headed by Brent Davis. The Leaderboard committee will follow their direction, as to the findings and any impact on the Leaderboard standings and points.

To clarify these issues:
a. Kennel Partners or immediate family members judging and running in the same hunt is strictly prohibited. Hunters risk having leaderboard points denied, upon the Joint Review Committee recommendations if Kennel partners or immediate family members such as FATHER/SON, HUSBAND/WIFE, BROTHER/SISTER ETC. run hounds and judge the field of the same hunt.
b. Borrowing of dogs in order to obtain an advantage in KOY points is strictly prohibited. Anyone trying out a dog and placing that same dog must complete the purchase of the dog and retain ownership for the duration of the year in order to retain KOY points.
c. The use of Cell phones to contact judges during a hunt in any manner including talking, texting, pics or e-mail except for a proven emergency is prohibited. Hunters communicating with judge(s) or judges communicating with hunter(s) risk having leaderboard points denied, upon the Joint Review Committee recommendations.

d. Intentional incorrect breeding- If any costs are involved for DNA testing, etc., they will fall on the parties involved to clarify the problem. We also understand there is a great deal of jealousy and competition in this sport. We want this program to be fair and honest and we will not tolerate anything less, and any findings will be posted for all to see.

WE STRONGLY RECOMMEND THAT A HUNT USE EITHER THE MASTERS COMPUTER SCORING PROGRAM OR DAVID WRIDES COMPUTER SCORING PROGRAM TO FIGURE A HUNT SO THAT A HUNT CAN BE REVIEWED IN THE EVENT THAT A HUNT IS PROTESTED.

6. Protesting of Hunts. Anyone wishing to protest a hunt must do so IN WRITING within 30 DAYS of the last days running and the protest must be signed by that person. The protest must be specific about what has happened and with names and objective evidence included on the protest. Protest must have the contact information for the Hunt President and Secretary. If such protests occur, we request assistance from the Hunt directors to assist with resolution. If Hunt Directors fail to cooperate with the Leaderboard or the Joint Review Committee and its investigation, THE HUNT WILL FORFEIT THEIR HUNT BEING COUNTED FOR THAT YEAR. Protests must be mailed OR given directly to a LEADERBOARD COMMITTEE PERSON OR MEMBER OF THE JOINT MASTERS/NATIONAL REVIEW COMMITTEE.
There will be a $50.00 FEE charged to protest a hunt. THE $50.00 FEE has to be sent with the written and signed protest. If the protest review proves to be VALID, the fee will be returned. If the protest proves to be INVALID, the fee goes into the Leaderboard fund for the Leaderboard Committee to use at its discretion.


7. Hunt results. Under the index on the Masterfox.net website, you will see several different forums---

PLEASE LIST THE NUMBER OF ENTRIES FOR EACH HOUND CLASS and the HUNT LOCATION in your post---You are welcome to put the same information, results etc. on the MASTERFOX Forum but please list it on the Field Trial Forums first---That makes it easier for the person compiling the LEADERBOARD information to do their job---

LEADERBOARDS will be kept thru the year and posted for the following programs on www.masterfox.net and in the Hunters' Horn magazine in April, July and October with the final standings being in the March issue for the previous year.

8. All trials must be advertised on at least a ¼ page ad in the Hunters' Horn in order for points earned from placing to be included in the standings. Advertising two hunts in the same ad shall not be allowed. Advertising two hunts on ½ page, three hunts on ¾ page or 4 hunts on a full page shall be allowed. All hunts must be advertised at least 30 days prior to the start of the trial for the hunt to count. All hunts eligible must be reported on Masterfox or Speeddogs or results mailed to:

within 30 days from the last day that the hunt was run. Hunt results turned in late may be disqualified from being eligible for that year’s awards. Mistakes must be corrected 30 days from being posted or results may stand as posted.

Once a hunt is advertised in the Hunters Horn to be held on specific dates regardless of the venue that hunt must be held on those dates. If there is a mistake made in the advertising or if the hunt finds the need to change those dates for any reason the hunt must make any and all effort to notify the public by running a new Hunters Horn ad if time allows or if not then via Masterfox and Speeddogs at least 30 days prior to the field trial in order for the hunt to be counted in the Leaderboard.

9. In order for points to be counted, each hunt must be run under the National Rules, Masters Rules or July National Rules and a recording fee of $30.00 will be charged to each association, for a hunt to count. All money owed must be paid at the time that that the hunt results are received. All Age and Derby of the same name, run at the same time, will count as one trial in reference to the Leaderboard fee. All monies received will be accounted for by the Corporate Secretary and deposited into a separate (LEADERBOARD) account. After expenses are paid all remaining monies (each year) will be used to sponsor the four LEADERBOARD PROGRAMS. The person or kennel owning the hound as of the last day of the year will be eligible for the awards unless this committee is notified in writing of an agreement between two parties that gives awards rights to another individual a kennel or person will not be allowed to purchase hounds and transfer awards for the purpose of the KOY.

Any hunt wishing to participate in the Leaderboard program must pay a Masters, National or July National affiliation fee and remain current for the year.

Any hunt wishing to participate in the Leaderboard program must use approved judges. Any hunt using non approved judges are not eligible.

10. KENNELS AND ALL MEMBERS MUST REGISTER ON MASTERFOX. For 2014 KOY, if you are not registered on the Masterfox Leaderboard post by February 8, 2014, you will not be eligible nor receive any year end awards for the Leaderboard Kennel of the Year in 2014. In addition, NO NEW MEMBERS CAN BE ADDED AFTER February 8, 2014 until the registry re-opens for the 2015 year.

The registration period for each year will be from DECEMBER 1ST until JANUARY 31ST of the upcoming year. YOU WILL BE REQUIRED TO RE-REGISTER EACH YEAR when we make the post on Masterfox beginning on DEC 1ST of the current year and extending til JAN 31ST of the upcoming year.

SIMPLE-
#1. LIST YOUR KENNEL NAME AND AN ADDRESS AND PHONE NUMBER TO GO WITH IT.
#2. LIST ANY and ALL MEMBER/ MEMBERS OF THE KENNEL.
On February 1ST we will put together the registered list from the Masterfox post and those Kennels and those Kennels only will be eligible for awards for Kennel of the Year.

*NOTE- THIS REGISTERY IS FOR TO KENNEL OF THE YEAR PURPOSES ONLY!! DOES NOT AFFECT HOUND OF THE YEAR, SIRE OF THE YEAR OR DAM OF THE YEAR….
**Also Note- You may see your kennel listed in the periodic updates posted on Masterfox and Speeddogs or in the Hunters Horn during the year even if you are not registered, but unless you officially registered your kennel and members by February 8, 2014, your kennel will be eliminated at the end of the year when the final points are calculated for awards.

IF YOU DO NOT HAVE A COMPUTER OR KNOW SOMEONE THAT DOES NOT HAVE A COMPUTER AND WANTS TO BE A PART OF THE LEADERBOARD KENNEL OF THE YEAR YOU CAN CALL JERROD VAUPEL /LEADERBOARD MEMBER 618-201-5407 BY JANUARY 31ST AND HE WILL PUT YOUR INFORMATION ON THE POST.

11. For the purpose of validation, the first day of running will constitute the start date of the field trial. To be counted in a current years Leaderboard, the hunt must start (first day of running) in that calendar year. The calendar year for all Leaderboard programs will be January 1 to December 31. Any hunt such as the Eastern Carolina hunt that occurs over the end of the year and “possibly” the beginning of the new year, will be established to be a year end hunt and will continue to count as such. An association can have only one trial for each $30.00 paid, however an association can have as many hunts as they pay for, provided they have different names and pay $30.00 for each hunt. In this case each hunt would be allowed to run their trial under one affiliation fee with each additional hunt costing $30.00.

1. HOY-

Individual hounds earn points towards this award via the point/grades system printed in the Horn. The points awarding system can be reviewed yearly, when brought to the attention of the Leaderboard committee. To help streamline the point keeping process, it is highly recommended, but not required that hounds be registered. The registration number could be listed on the results. Errors will undoubtedly be made, as different spellings of names occur on hunt results. While efforts are made to correct this when entering hounds in these awards programs, it is the final responsibility of the hound owner to point out any errors in a timely fashion.
Hounds that earn points towards HOY, carry their points for the year, regardless of ownership.

2. SOY-

Individual hounds earn points towards this award via the point/grades system printed in the Horn. The points awarding system can be reviewed yearly, when brought to the attention of the Leaderboard committee. Errors will undoubtedly be made, as different spellings of names occur on hunt results. While efforts are made to correct this when entering hounds in these awards programs, it is the final responsibility of the hound owner to point out any errors in a timely fashion.

Hounds that earn points towards SOY, carry their points for the year, regardless of ownership.

A sire's BEST 12 hunts results (points) will count towards the year end final total.


3. DOY-

Individual hounds earn points towards this award via the point/grades system printed in the Horn. The points awarding system can be reviewed yearly, when brought to the attention of the Leaderboard committee. Errors will undoubtedly be made, as different spellings of names occur on hunt results. While efforts are made to correct this when entering hounds in these awards programs, it is the final responsibility of the hound owner to point out any errors in a timely fashion.

Hounds that earn points towards DOY, carry their points for the year, regardless of ownership.

A dam's BEST 12 hunts results (points) will count towards the year end final total.


3. KOY-

Individual kennels earn points towards this award via the point/grades system printed in the Horn. The points awarding system can be reviewed yearly, when brought to the attention of the Leaderboard committee. Points for KOY will only be awarded to the individual kennel that entered the hound in a particular hunt if a particular hound changes ownership, the new owner/kennel that enters the hound will earn points the previous owner/kennel keeps points earned when they entered the hound. Errors will undoubtedly be made, as different spellings of names occur on hunt results. Efforts are made to correct these spelling when entering hounds in these awards programs, but is the final responsibility of the kennel to point out any errors within 30 days of posting.
Individuals that enter hounds do not have to have “kennel” beside their name to count in the KOY re: (John Doe, somewhere USA) however the name as the dogs are entered is how the points will count towards the KOY, if an individual chooses to partner with another re: (John Doe and James Smith, anywhere USA) he will not be able to count these winnings with his or hers individual score. Scores cannot be transferred and each hounds points goes to the kennel that entered the hound in a particular hunt.

A kennel's BEST 12 hunts results (points) will count towards the year end final total.



12. Method of calculating HOY, SOY, DOY and KOY:

For purposes of calculation, all trials are placed into one of the following six stakes grades. The entry level for any new hunt will be no higher than Grade III. After the first year, a hunt may petition the Leaderboard Advisory Committee for a higher grade.

Hounds winning a combination and dual will only receive points for one or the other; whichever is the greatest but NOT a combination of the two.


Grade I-A consists of the following trials:

Grade III consists of all (15 hour) All Age or Open hunts.
State Hunts

Grade IV consists of all two day (10 hour) - All age or derby hunts.

Grade V consists of all one day (8 hour) - All age or derby hunts.


Any hunt wanting to have their grade increased must apply in writing to this committee for review and consideration of the increase.


The 6 charts immediately below show the base points to be awarded for each winner. For example, the base points for a Grade 3, 3rd place All-Age winner would be 270 points. If the hound also won the Combination, base points would get an additional 60 points. If the field trial has 245 hounds entered, take the 270 + 60 = 330 points multiplied by .9 to get 297. The 297 rounds “down” to 295. These 295 points would go toward Hound of the Year for this hound.
Note: Since the 3rd – 10th place is set up on a 10 point scale, all rounding will be “down” to attempt to retain the 10 point scale.

In order to reward hounds that have the ability to compete at a high level in many different parts of the country, hounds will be awarded BONUS points at the end of the year towards HOY. For each STATE that a hound places in the top 10 HGA or GTP at a qualified leaderboard hunt, that hound will receive 50 bonus points toward HOY. This bonus applies to HOY only and is not transferred to SOY, DOY, or KOY.
Example
Red's Sam places in NC, SC, MO, VA, LA during the year. Red's Sam will receive 250 bonus points toward HOY.

Note: For calculation purposes, this BONUS will be calculated on the Top 100 hounds and added to the final totals AT YEAR'S END, to determine the final top 20 in HOY.
The top 12 points hunts still apply for calculating the final KOY, SOY, DOY – the limit is only 8 of those 12 can be from one pen, the other 4 must be from a different pen. Keep in mind that when a derby hunt and an all age hunt are run together – they are still 2 separate hunts.

LEADERBOARD RULES & AWARDS COMMITTEE
